Privacy policy
1. Who we are
Arixa builds AI systems, web applications, mobile apps and custom software. For the purposes of UK data protection law we are the data controller for the personal data described in this policy.
You can reach us at admin@arixa.co.uk or on +44 7405 128529. This policy covers arixa.co.uk and the enquiries we receive through it. It does not cover software we build for clients, where the client is normally the controller and their own policy applies.
2. What we collect
Information you give us
When you complete the enquiry form or contact us directly, we collect:
- Your name and email address
- Your company name, if you give one
- The type of work you need and your budget range
- Whatever you write in the message field
Information collected automatically
If you accept analytics and advertising cookies, we and the providers named below collect technical information such as your approximate location at city level, device and browser type, the pages you view, how you arrived at the site, and an identifier stored in a cookie. We do not receive your name or email from these tools.
Our web server also keeps standard access logs, which include IP addresses, for security and troubleshooting. These are not used to build a profile of you.
3. Cookies and tracking
Nothing other than strictly necessary storage runs until you make a choice in the banner. If you select "Essential only", no analytics or advertising cookies are set and the Meta Pixel is never loaded.
| Provider | Purpose | Needs consent |
|---|---|---|
| Consent preference Stored by us in your browser | Remembers the choice you made in the cookie banner so we do not ask again | No, strictly necessary |
| Google Analytics 4 Google Ireland Limited | Measures how many people visit, which pages they read and how they found us | Yes |
| Google Ads Google Ireland Limited | Records whether an advert led to an enquiry, and supports remarketing | Yes |
| Meta Pixel Meta Platforms Ireland Limited | Records whether a Facebook or Instagram advert led to an enquiry, and supports audience building | Yes |
We use Google Consent Mode v2. Until you accept, Google tags run in a restricted state that sets no identifying cookies. We do not use advertising cookies to target you based on special category data such as health, religion or political opinion.
4. Your cookie choice
Withdrawing consent is as easy as giving it. Use the button below to clear your choice and show the banner again. You can also clear cookies and site data for arixa.co.uk in your browser settings at any time.
Withdrawing consent does not affect the lawfulness of anything we did while consent was in place.
5. How we use it
- To reply to your enquiry and discuss a possible project
- To prepare quotes, scopes and agreements
- To deliver and support work you have engaged us for
- To understand which pages and marketing channels actually work
- To measure whether our advertising is worth running
- To keep the site secure and functioning
- To meet our legal and accounting obligations
We do not sell your personal data. We do not send marketing emails to people who have simply made an enquiry unless they ask to hear from us.
6. Legal basis for processing
| What | Basis |
|---|---|
| Replying to your enquiry and quoting | Steps taken at your request before entering a contract |
| Delivering work for a client | Performance of a contract |
| Analytics and advertising cookies | Your consent |
| Server logs and site security | Our legitimate interest in keeping the site safe and available |
| Keeping records for tax and accounting | Legal obligation |
7. Who we share it with
We share personal data only where it is needed to run the business, and only with providers bound to protect it:
- Our website host, for serving the site and keeping access logs
- Web3Forms, our form processor, for delivering enquiries to our inbox
- Our email provider, so we can correspond with you
- Google and Meta, for the analytics and advertising described above, and only if you consent
- Our accountant, and HMRC where legally required
We may also disclose information if we are legally required to, or to establish or defend legal claims.
8. International transfers
Some of our providers process data outside the United Kingdom, including in the United States. Where that happens we rely on the UK extension to the EU to US Data Privacy Framework where the provider is certified, or on the UK International Data Transfer Agreement or Addendum together with appropriate safeguards.
If you would like detail on the safeguards for a particular provider, email us and we will tell you.
9. How long we keep it
| Data | Kept for |
|---|---|
| Enquiries that do not become projects | 24 months, then deleted |
| Client project records and correspondence | 6 years after the engagement ends |
| Invoices and accounting records | 6 years, as required by UK tax law |
| Analytics data | Up to 14 months in Google Analytics |
| Server access logs | Up to 12 months |
10. Security
The site is served over HTTPS with modern security headers. Access to enquiry data and client systems is limited to people who need it, and protected by strong authentication. We review the providers we use and keep dependencies current.
No system is perfectly secure. If a breach affects your rights and freedoms we will notify the Information Commissioner's Office within 72 hours and tell you where the law requires it.
11. Your rights
Under UK GDPR you have the right to:
- Ask what personal data we hold about you and get a copy
- Have inaccurate data corrected
- Ask us to delete your data, where no overriding reason to keep it applies
- Ask us to restrict how we use it
- Receive data you gave us in a portable format
- Object to processing based on legitimate interests
- Withdraw consent at any time, including for cookies
Email admin@arixa.co.uk and we will respond within one month. There is no charge unless a request is manifestly unfounded or excessive.
12. Children
This site is aimed at businesses and is not directed at children. We do not knowingly collect data from anyone under 13. If you believe we have, tell us and we will delete it.
Where we build software used by younger people on behalf of a client, the client is the controller and their own policy and safeguarding arrangements apply.
13. Changes to this policy
We update this policy when what we do changes. The date at the top shows the last revision. Material changes affecting how we use your data will be made clear on this page.
14. Contact and complaints
Email admin@arixa.co.uk or call+44 7405 128529 with any question about this policy or your data.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office atico.org.uk, or on 0303 123 1113. We would rather you came to us first so we can put it right.
